The General Services Administration (GSA) establishes per diem rates for destinations for the United Sates and foreign cites. Certify has integrated the GSA per diem rates into our product through GSA Per Diem categories. This article shows you how to create a new GSA Per Diem category.
For more information on GSA per diem rates, please visit www.GSA.gov.
On your account homepage, click the gear icon and then select View and Edit Expense Categories.
1. Select Create a New Expense Category.
2. Enter the Expense Category Name. Then select a GSA Expense Type from the drop-down menu.
Cash Expense - GSA - Includes all incidental expenses that are not Lodging or Meals
Lodging - GSA - Lodging expenses; hotels, motels, etc.
Meals - GSA - Includes Breakfast, Lunch, and Dinner expenses
3. Select a Reimbursable Amount from the drop-down menu.
Expense Amount Capped - Employees are reimbursed only for the actual expense amount, up to the GSA per diem amount; if the expense amount exceeds the GSA amount, the employee will only receive the GSA per diem amount; if the expense amount is less than the GSA per diem amount, the employee will only be reimbursed for the expense amount
GSA Amount - Employees are reimbursed for the full GSA per diem amount regardless of the expense amount; if the expense amount exceeds the GSA per diem amount, the remainder is NOT reimbursed; if the employee spends less than the per diem amount, they are reimbursed the full GSA per diem amount
GSA Amount No Expense Amount - Employees are reimbursed the full GSA per diem amount, regardless of the expense amount; no expense amount is entered in Certify
4. Continue to enter the remaining category configuration options. For Meals - GSA expense types, you will need to click the checkbox for each applicable meal: Breakfast, Lunch, and/or Dinner. GSA per diem amounts differ for each meal. You may configure one category for a full day of meals expenses, or create a single category for each individual meal.
