Data Archive is a monthly data backup service that provides processed receipt images and expense data for your organization. Each archive is a ZIP file that contains a folder for every processed expense report. The approval code identifies each expense report folder.
Each expense report folder contains the original receipt images and an HTM file with expense data, approval data, notes, and inquiries.
Archive files become available on the first day of the second month after the reports are processed. For example, The file for expense reports processed from April 1 through April 30 become available on June 1. Administrators receive an email when a new archive file is available.
As an Emburse Professional administrator, you can download your organization’s monthly archive files.
Prerequisites
- You are logged in to Emburse Professional as an administrator.
Download an Archive File
On the Emburse Professional home page, select Settings.
Under Service Plan and Billing, select Data Archives.
If Data Archive is not enabled for your organization, select Activate Data Archive.
Review the available archive files.
- Download: Downloads the file for the listed date range. Depending on processing volume, a month may contain multiple files.
- Expense Reports: Displays the number of expense reports included in the file.
- Downloaded: Displays whether the file was downloaded, who downloaded it, and when it was downloaded.
Select Download for the archive file you want to save.
The file downloads to your computer.
Open your Downloads folder.
Open the downloaded ZIP file.
The archive contains a folder for each expense report processed during the listed date range. Each folder contains the original receipt images and an HTM file with the report’s expense data, approval data, notes, and inquiries.
Return to the Data Archive page.
The Downloaded column displays the user who downloaded the file and the download date. You can download a monthly file more than once.
Archive Notifications
Administrators receive an email when a new Data Archive file is available. You can return to the Data Archive page at any time to download available monthly files.
