For companies using Emburse Assurance for Emburse Professional, the Auditor permission is assigned by an Emburse Professional Administrator. The Auditor role is designed for users to monitor flagged expenses which are pending approval using the Emburse Assurance Alerts queue.
The Auditor assists in the approval process by providing further context to help Approvers make better informed decisions when working with non-compliant expenses. However, Auditors are not a part of the approval path, as they cannot make approval/disapproval decisions. The use of Auditors is not required when using Emburse Assurance.
The Emburse Assurance Alerts queue provides Auditors with a list of expenses flagged by the Rules set up by the company admin.
This queue is for post-submit review. Emburse Assurance rules can also run before submission, where the submitter may need to review violations and provide explanations before the report is submitted. After submission, auditors can still review flagged expenses here and add notes for the approval chain.
Once an expense is processed, it will no longer be visible in the Audit Alerts Queue, but will appear on the Emburse Assurance Review Report, under Reporting.
This article shows you, an Emburse Professional Auditor, how to use the Emburse Assurance Alerts queue.
1. From your Emburse Professional homepage, click Audit Alerts.
2. The Emburse Assurance Alerts queue opens with a list of pending expenses that have been flagged by Assurance.
3. If necessary, you can sort the expenses by clicking on any of the column headers.
The Status icon shows the status of the Audit flag:
- Purple Star: The expense has been flagged by an Assurance rule, but an Auditor has not yet confirmed if the expense is a violation
- Red: An Auditor has reviewed this expense and marked it as a violation
- Green Checkmark: An Auditor has reviewed this expense and marked it as not a violation
Each status will transfer to the expense report in real time, providing your Approvers with the additional context as soon as an expense has been actioned by an Auditor.
4. Click the pencil icon to open the expense details and provide additional context to the Approvers.
5. From here, the Auditor can:
- Mark the expense as a Violation, or as a Non Violation
- Once selected, the expense line will be updated with the new audit status, visible to approvers
- Click the pencil icon to add a Note to the expense. The Auditor note will be visible to approvers
- View the expense report to see the full context of the report
6. All information entered by the Auditor becomes visible to the Approvers reviewing the report, helping to provide necessary context and empower the Approver to make a better approval decision.
