Approve on Emburse Professional Mobile

The Emburse Professional mobile app includes an approver experience designed to streamline how you review and act on expense reports.

In the mobile app, you can do everything you can do on the web when approving an expense report (including approving individual items, approving all items, approving the entire report, and returning a report with comments).

Prerequisites

  • You are assigned an Approver role in Emburse Professional
  • You are logged in to the Emburse Professional mobile app
  • At least one report is awaiting your approval

Use Other Actions on an Expense Item

Managers and Approvers can also take additional actions on an expense in the Expenses section by tapping the Actions icon next to an expense item.

Available actions include:

  • Add Note: Add a comment to the expense for documentation or clarification. Notes are visible in the report history.
  • Inquire: Request additional information from the submitter without disapproving the expense. The report remains in its current status.
  • Split Expense: Divide one expense into multiple line items. Use this when a single charge must be allocated across categories, departments, or projects.
  • Disapprove: Reject the selected expense item. Once disapproved, the submitter cannot adjust the expense. Disapproving an expense line voids it.
  • Add Image: Attach or replace a receipt image for the selected expense.
  • Send to Wallet: Move the expense back to the submitter’s Wallet so it can be edited or reused in another report.

Tap the appropriate action and complete the required steps.

Open and Review a Report

  1. From the Home screen, review the Action needed section.
  2. Tap Approval Requests.

The Approve Expense Report screen displays.

  1. Review the following sections as needed:
  • Status: Shows where the report is in the approval workflow.
  • Current Approver: Shows who the report is currently assigned to.
  • Department: Shows which department the expenses are coded to (if configured).
  • Summary: Provides a high-level view of report totals and key details, including the submitter, the report title, and the dates of expenses in the report.
  • Approval History: Lists previous approval actions and any comments.
  • Receipt Image: Displays receipts and other supporting documentation attached to the report.
  1. Tap the receipt area to view supporting documentation.

You are now ready to approve or disapprove the report.

Approve Expense Items and Reports

You can approve a single expense item, approve all items at once, and then approve and submit the entire report to move it to the next approver or workflow stage. Before you begin, open the report and review the expense details and receipts as needed.

  1. Open the report.
  2. Scroll to the Expenses section.
  3. Tap Approve beside an expense item to approve one item or tap Approve All to approve all items at once.
If you tap Approve All, you will receive a confirmation dialog asking you to confirm that you wish to approve all expenses.

  1. Once you have completed reviewing all expenses, tap Approve Report.

The Submit Expense Report for Reimbursement screen displays.

  1. (Optional) Enter comments in Comments.
  2. Tap Submit.

The report is approved and routed to the next approver or workflow stage.

Disapprove a Report

  1. Open the report.
  2. Tap Disapprove Report.
If an expense report requires multiple amendments from the submitter, disapproving the expense report returns the report to the submitter, where it can be edited and resubmitted.

  1. (Optional) Enter comments in Comments.
  2. Tap Submit.

The report is returned to the original submitter.
