Invoice History Overview

The Invoice History page gives Emburse AP users a place to track and review processed invoices and their payment lifecycle statuses.

The exact tabs, statuses, and available actions shown on this page can vary by role and product configuration.

Who Can Access Invoice History

Administrators can view all invoices across the organization. Users with payment-enabled access can view invoices within their personal context.

How to Navigate to Invoice History

  1. In the primary navigation, select the Emburse AP tab.

  2. Select Invoice History.

Administrator Experience

In administrator context, Invoice History displays all invoices across the organization. Administrators can search, filter by payment status, and apply date range controls to locate specific invoices.

Personal and Payment-Enabled Experience

In personal or payment-enabled context, Invoice History displays invoices for your account.

If an administrator selects the PERSONAL tab in the left navigation, Invoice History shows only that administrator's invoices instead of all organization-wide invoices.

Page Elements

The Invoice History page includes the following elements.

Element Description
Status filter chips

Filter the invoice list by payment lifecycle state. Each chip label includes a count of invoices in that state. Available chips include:

  • All
  • Initiated
  • Approved
  • Settled
Search field Search for invoices by vendor name, invoice number, or other identifying values.
Due date range filter Limit results to invoices with a due date within a specified range.
Results count Displays the number of invoices currently matching the active filters. The count updates when you apply or clear a filter.
Invoice table Lists processed invoices with key fields and status information for each row. See Invoice History Table Fields for field details.
Actions column Use View in the Actions column to display the full details for an invoice.

Filter Invoices

Use status filter chips and date range controls to narrow the invoice list.

  • Select a status — such as All, Initiated, or Settled — to filter by payment lifecycle state. The active status is highlighted. Each status label includes a count of invoices in that state.
  • Use the Due Date range fields to limit results to a specific date range. Clear the range to return to the full list.

Invoice History Table Fields

The Invoice History table includes the following columns.

Fields Description
Invoice The invoice identifier or number associated with the record.
Vendor The supplier associated with the invoice.
Amount The total invoice amount.
Currency The currency associated with the invoice amount.
Due date The payment due date for the invoice.
Payment status The current lifecycle state of the invoice payment. See Payment Status Indicators for definitions.
Last updated The date and time the invoice record was last modified.
Actions Use View to display the full invoice details for the selected row.

Payment Statuses

The Payment status column displays the current lifecycle state of an invoice. Use these states to identify where an invoice is in the payment process.

Status Description
Initiated A payment has been created and submitted for processing.
Approved The invoice has completed the approval workflow and is authorized for payment outside of the Emburse Payment Gateway.
Settled Payment has been completed and the invoice is closed.

Available payment status values can vary by product and environment. Contact your administrator if you see a status that is not listed here.
