The Dynamic Filtering feature allows Certify Administrators to filter the values of a custom field, or General Ledger Dimension (GLD), based on a user’s selection of a previous custom field. This allows users to configure dynamic Parent-Child relationships between specific fields, for easier expense reporting.
This article gives you, a Certify Administrator, an overview of Certify’s Dynamic Filtering feature.
Please Note: To enable this feature, contact Certify Support or your Customer Success Manager.
Step 1: Navigate to the System Configuration page, then select General Ledger Dimensions.
Step 2: Under the Expense Report General Ledger Dimensions section, choose which of the GLDs is the Child of the relationship by assigning it a Parent field in the Filter By column.
In this example, by setting the Project field’s Filter By value to Client, we are telling the system that the Client GLD is the Parent and Project GLD is the Child in this Parent-Child relationship.
Please Note: If you would like to create a Parent-Child relationship between an Employee Level GLD and an Expense Report GLD, please contact our Support Team for further details.
Step 3: Once the Filter By value is set, click Save at the bottom of the page.
Step 4: Open the three-dot menu and select Filtering Relationships from the dropdown to begin to link Parent GLD values.
Step 5: Using the text box provided, list all unique parent-child relationships. Each row should include:
- Child Name – The applicable Child GLD value’s name.
- Child Code – The applicable Child GLD value’s code.
- Parent Name – The applicable Parent GLD value’s name.
- Parent Code – The applicable Parent GLD value’s code.
- Inactive – Set whether this relationship should be active or inactive (True/False).
Once each unique relationship has been added, click Next to save your changes.
Please Note: Parent-Child relationships do not need to share similar names or codes.
Downloading Files
On the Filtering Relationships page, select any of the Download Filter options to generate a .csv file to download. Or, to manage the dynamic filter relationships outside of Certify, upload a file using the option provided.
Please Note: The file format must have separate columns for the Child Name, Child Code, Parent Name, Parent Code, and whether the relationship is active or inactive (True/False) to successfully create relationships.
Creating Expenses
When creating an Expense, Certify will prevent the user from first selecting the Child value, and will direct the user to the Parent GLD.
For this example, users will see that the child value “Big Client Project 1” can only be selected as a Project value if the user first selects “Big Client” as the Client value on their expense report.
If the user were to change the Parent value, a new Child value would also need to be chosen.
