Configuring the Sage Intacct Connector

The Sage Intacct Connector is an API-based bidirectional sync. The sync imports user data into Certify, and exports expense reports and/or vendor data into Sage Intacct. Both the Vendor Synchronization and Expense Synchronization are optional; The customer can choose to enable one, or both of the synchronizations, based on their requirements. Additionally, reimbursable expenses can be exported from Certify and imported to Sage Intacct as AP Bills, while non-reimbursable expenses can be imported as credit card transactions.

After installing and registering the Sage Intacct, you are ready to configure the Connector. This article shows Certify Administrators how to configure the Sage Intacct Connector.

Configuring the Integration

Using the Emburse Certify application menu in Intacct, select the Configuration option. Using the tabs, configure the integration as follows:

Integration - Admin Email

When expenses are processed and synchronized in Intacct, an integration report is generated. Enter an email address to send the report.

Posting Entity

When posting using a sub-entity, by default, all posting against that entity will be registered as private. Configure the integration to post the transactions at the top level by checking the box. This sets the location to the entity that the expense transaction is required for.

Example: If your users typically create the transactions for their entity at the top level but then specify the location, then choose this option.  If they create directly within the entity – leave the option unchecked.

Please Note: This option is not displayed at the top level, as all top-level transactions will be posted at the top level.

Employee Paid Expenses 

The Employee Paid Expenses tab defines how reimbursable expense reports are imported into Intacct. Each employee must be represented by an Intacct supplier with the Certify employee ID matching a valid Intacct supplier ID.

  • Process Employee Paid Expenses -- Indicates whether reimbursable expenses are included as part of the data transfer, and exports reimbursable expenses as AP Bills if selected. 
    • Please Note: If this option is not selected, expense data will not import to Sage Intacct.
  • Last Processed -- The last time a batch of expenses was processed and imported to Sage Intacct. If there is an issue with the import you can set the date back to a previous date and re-import from this date.
    • Please Note: Please exercise caution when changing the “Last Processed” date, as this may cause data duplication in your Sage Intacct environment.
  • Posting Action -- Defines whether the AP Bill is created as a Draft in Sage Intacct, or automatically submitted.
  • Tax Detail (taxed items) -- The tax detail used for all non-zero tax items added to the supplier invoice.
  • Tax Detail (non-taxed items) -- Select a tax detail to apply to expense claim items that have a zero-tax value.

Company Paid Card Expenses

The Company Paid Card Expenses tab defines how company-paid credit card expenses are imported into Intacct

  • Process Company Paid Card Expenses -- Indicates whether the non-reimbursable company paid credit card expenses will import.
  • Last Processed -- The last time a batch of expenses was processed and imported to Sage Intacct.  If there is an issue with the import you can set the date back to a previous date and re-import from this date.
  • Create company paid card expenses as -- A credit card expense can either be imported as a credit card transaction (Cash Management) or a supplier invoice in Accounts Payable (AP Invoice).  
    • The Card ID in Certify must exist as a credit card or supplier in Intacct. 
  • Tax Detail (taxed items) -- The tax detail used for all non-zero tax items added to the supplier invoice.
  • Tax Detail (non-taxed items) -- Select a tax detail to apply to expense claim items that have a zero-tax value.

Suppliers

The Sage Intacct Connector can be configured to export suppliers from Sage Intacct and import them into Certify as users.

  • Process Suppliers -- Indicates whether Suppliers are included as part of the data transfer.  If selected, the connector will export Vendors from Intacct and import them as users in Certify.
    • Please Note: User data will not import into Certify without selecting this option.
  • Supplier Type -- The supplier type the integration will use to extract suppliers and send to Certify.
  • Last Processed -- The last modified date on the Vendor record. Used to determine which vendors are imported.  

Once the Supplier and Expense tabs have been configured, data is transferred each day at 2:00am UTC (Coordinated Universal Time)
