Adding Receipts using Certify Mobile

You can use the Certify Mobile app to easily upload receipts to your My Certify Wallet from your mobile device. The Certify Mobile app works with most devices including Windows Phone, Android, BlackBerry and iPhone.

This article shows you how to add receipts in the Certify Mobile app and sync them to your My Certify Wallet.

Step 1: Open the Certify Mobile app on your mobile device. Log in with your Certify Username and Password. Your username and password for Certify Mobile are the same as your login credentials you use to log into www.certify.com.

Step 2: On your Certify Mobile homescreen, tap Add Receipt.

Step 3: Select a photo resolution to open the camera screen on your mobile device. Photo resolution options include:

  • High / Medium – Recommended
  • Low – Use only if your device is short on storage
  • GalleryUse to add a receipt image from your mobile device’s photo gallery

Please Note: To add multiple receipts at a time to your Certify Wallet, use the Upload or Email options available in your online Certify account at www.certify.com.

Step 4: The camera screen opens. Hold your camera 6 to 12 inches away and focus the camera screen on your receipt. Make sure the receipt fills the screen. Once the receipt looks clear and centered, tap the Photo button to capture the receipt image.

Step 5: On the next screen, tap Use Photo to save the receipt image.

Please Note: The average Certify Mobile image size per photo resolution is:

  • High Resolution:               200 – 325 Kilobytes (KB)
  • Medium Resolution:         100 – 200 Kilobytes (KB)
  • Low Resolution:                10 – 100 Kilobytes (KB)

Step 6: On the next screen, tap AutoFill to scan the receipt image and populate the expense detail fields. See AutoFill Tips & Tricks to maximize this feature.

Step 7: If needed, make edits to the expense data by tapping the field you want to edit, entering the data, and tapping Done to save your edits.

Step 7: Tap Save to save the receipt information.

Step 8: On your Certify Mobile homescreen, tap Sync to upload the receipt and add it to your My Certify Wallet.

Please Note: If you find you uploaded a receipt in error, you can easily delete it. See Deleting Receipts Using Certify Mobile.

If you have ReportExecutive enabled, receipts in your My Certify Wallet are automatically added to an expense report for you. Alternatively, you can use the Certify Mobile Auto Expense Report Wizard to create an expense report on your mobile device.

    Is it possible to upload multiple receipts at once? i.e.- from my gallery, then I can go on the certify site to build the expense report?

    Hello Rebecca,

    When using the mobile device, you are only able to select one receipt at a time. Utilizing our upload and/or email option will allow you to submit more than one receipt at once into your Certify Wallet.

    Can you add a receipt from your photo gallery in your phone. I do not have hard copy.

    To add a receipt from your photo gallery, use the Add Receipt option in Certify Mobile, and then choose "Gallery" as the source.

    is it possible to sink certify with your photos? Instead of taking a live photo, can I upload a photo from my photo list on my phone?

    I know how to add receipts however I was adding receipts just now and after I took one of the photos, my screen went to a split screen. Three quarters of the screen is all white and on the other one third I can only see the left side of the prompt screen. I've tried logging out and when I log back in, it returns me to the same screen.

    Hello Dave,

    I'm sorry to hear you're having trouble syncing your receipts. Please try locating the Certify app in your phone's app store. Tap Update to update the app and try syncing your receipts again. This should allow you to sync your receipts as expected.

    Can two pictures of receipts be added to one line. For example we have a receipt in USD$ but the employee has used his CAD$ credit card. We need to reimburse him in CAD$ the exact amount charged by his credit card company. So we request the employee to submit a copy of the credit card statement as well. My question is can we attach the USD$ receipt and the CAD$ credit card statement to one line of the report.

    What happens if I locate a receipt after an expense report has been submitted? I took a picture of it and it uploaded to the wallet, however I have no place to attach it to. should I delete it? Can it be archived or will it remain sitting in the wallet?

    Hello,

    If your report is still pending approval, please contact your Approver directly and request for him/her to submit an inquiry to allow you to attach the receipt to the expense line. If the report has already been approved and processed, unfortunately, no edits can be made.

    Additionally, receipts can not be archived and will remain in your wallet until further action is taken.

    We have an ongoing issue when receipts include a vendor name and that name does not match the vendor name from the credit card auto upload. A duplicate expense is created. I've instructed all to not put in a vendor name on the receipt, only the date and dollar amount. Is there a better way to resolve this issue? Thanks.

    Hi Steven,

    The vendor name for a credit card expense is received from the credit card company. A duplicate expense is created when two expenses have the same date and amount. The vendor name does not matter when it is trying to match the receipt and expense, it will only look at the date and amount.

    Hi Duane,

    Receipts cannot be added to an expense report after it has been approved by the accountant and processed. If your report is still pending approval, an accountant or an approver can send you an Inquiry which would allow you to link a receipt to an expense on that report.

    I continue to get the "swirling circle" aka "hour glass" when trying to save receipts. I've tried updating and deleting and reinstalling app, using low res pictures....nothing seems to work.

    I am using a company credit card which automatically adds the expense and I've opened a draft report... And now see I have to also ad a photo of each expense. But when I take a photo to ad RECEIPT (remember expense is ALREADY in a draft report) , it wants to ADD A NEW EXPENSE, even though it is already in draft). I do now have merge but on in report.... HELP!!

    Receipts and expenses have the ability to be merged in an expense report if the date and total amount match exactly. I will follow up with more specific information via email.

    The problem we are having is that when we add data to the uploaded receipt and than add this receipt to the corresponding credit card expense (automatically imported), all that data will be deleted. There should be a better way to actually make this mobile app feature useful, as right now it appears not to be worth spending time on.

    We use the mobile app to code our receipts, however, once the receipt merges with the corresponding credit card charge the reason field is overridden with a memo from the credit card charge. I thought that info from the receipt stays with the charge once it is submitted in an expense report. Is that not the case? If not, why should I train our card holders to add memos at the receipt level?

    Information from the credit card charge will override manually inputted information since the credit card information comes directly from your bank. I will reach out to you via email to help you with your company's specific setup.

    To me the system should work in a more flexible way. For instance if we add info to the receipt, and there is also info added to the credit card statement, when I attach the receipt, why can't the system detect that there is information available, present it to me, and ask me what I want to keep, ignore, merge, etc.?
